Expiration tracking and reminders

Email live · SMS coming soon

Know every license, insurance and permit date before it becomes a problem.

Kervault keeps your license, insurance and permit expiration dates in one list, so you are not digging through a glovebox, an inbox and a filing cabinet to find out what is due.

Each item shows a clear status: OK, Expiring, Expired or Missing. Email reminders go out before a date arrives, on a schedule you can adjust. SMS reminders are coming soon and are not sent yet.

Requirements vary by state, county and city. Kervault tracks the dates you enter and reminds you; it does not provide legal advice or guarantee compliance. Confirm what you need with your local licensing authority or insurer.

How it works

  1. 1Add an item, like a contractor license, a general liability policy or a city permit.
  2. 2Enter the expiration date and attach the document if you have it.
  3. 3Choose when you want email reminders.
  4. 4Renew, upload the new document and update the date. Kervault starts watching the new one.

Who it's for: HVAC, plumbing, electrical and roofing contractors who juggle licenses, insurance and permits.

Documents

Keep the actual paperwork right next to the date it expires.

Every compliance item can hold its document, such as a photo or PDF of your license, a certificate of insurance or a permit. When someone asks for proof, it is already in one place.

Store documents with each item so the current version is easy to find and the expiration date and the file always travel together.

How it works

  1. 1Open a compliance item.
  2. 2Upload a phone photo or a PDF.
  3. 3Find it later from the item whenever you need it.

Who it's for: Contractors in HVAC, plumbing, electrical and roofing who get asked for proof of license or insurance.

Send a COI

Email a certificate of insurance to a client or general contractor in a few taps.

General contractors, property managers and homeowners often ask for a certificate of insurance (COI) before work starts. Kervault lets you send the COI you already stored by email.

Because the COI lives with its expiration date, it is easier to send a current one and avoid sending an outdated certificate by mistake.

How it works

  1. 1Store your COI as a compliance item.
  2. 2Open Send COI and pick the certificate.
  3. 3Enter the recipient's email and send.

Who it's for: Roofing, electrical, plumbing and HVAC contractors who work for GCs or commercial clients.

Meetings

Schedule customer meetings and keep track of them in one place.

Set up phone calls, video calls or on-site visits with customers. Propose times, see what is confirmed and keep your upcoming meetings on one page.

Meeting times show in local time so both sides see the same appointment. For on-site visits before you are hired, the exact address is not shared.

How it works

  1. 1Choose a meeting type and propose a few times.
  2. 2The customer accepts a time or suggests another.
  3. 3The confirmed meeting appears on your Meetings page.
  4. 4Reschedule or cancel with a short reason if plans change.

Who it's for: HVAC, plumbing, electrical and roofing contractors who meet customers before quoting a job.

Estimates and templates

Build clean estimates fast, starting from a template.

Start an estimate from a template, add line items and send it to your customer. Templates save you from retyping the same services every time.

Starter templates are included for HVAC, plumbing, electrical and roofing. Duplicate and edit them to match how you price work. Example prices are placeholders, so review them before sending.

How it works

  1. 1Pick a template or start blank.
  2. 2Add or edit line items for the job.
  3. 3Review the total and send the estimate.
  4. 4Convert an accepted estimate into an invoice.

Who it's for: Contractors in HVAC, plumbing, electrical and roofing who quote jobs regularly.

Invoices

Send invoices, see what is paid and follow up on what is not.

Every invoice has a status: Draft, Sent, Paid or Overdue, so you can see at a glance where your money stands.

Add an optional tax line when it applies. You are responsible for charging the correct tax. Customer reminder emails help you follow up on unpaid invoices without awkward calls.

Need a paper copy? Print any invoice or choose Save as PDF in your browser's print dialog. Online payment collection is coming soon; for now, add your payment instructions and mark the invoice paid when the money arrives.

How it works

  1. 1Create an invoice or convert an accepted estimate.
  2. 2Add an optional tax line and your payment instructions.
  3. 3Send it. The status moves from Draft to Sent.
  4. 4Mark it Paid, or let reminder emails nudge the customer if it becomes Overdue.
  5. 5Print or save as PDF any time.

Who it's for: HVAC, plumbing, electrical and roofing contractors who bill customers after the job.

Free request marketplace

Homeowners post requests for free, and local pros can respond.

Homeowners and general contractors post service requests with a simple form at no cost. Contractors see nearby requests on a map at the town level, never an exact address.

Contractors on an active paid plan can see requester contact info and respond with an estimate. The homeowner's exact address is shared only with the pro they hire. After the job, homeowners can leave a review.

How it works

  1. 1A homeowner posts a free request with the trade and town.
  2. 2The request appears on the map for nearby contractors, at town level only.
  3. 3Contractors on an active paid plan see contact info and send estimates.
  4. 4The homeowner hires a pro, and only that pro receives the exact address.
  5. 5The homeowner can leave a review after the work.

Who it's for: HVAC, plumbing, electrical and roofing contractors looking for local jobs.

How it works

  1. 1Join the Growth waitlist from the pricing page.
  2. 2When Growth opens, browse the directory by area and trade.
  3. 3Follow each group's rules when you participate.

Who it's for: HVAC, plumbing, electrical and roofing contractors who want to be found in local community groups.

Requirements vary by state, county and city. Kervault tracks dates and sends reminders; it does not provide legal advice and does not guarantee compliance.
